- Log into the SHD Database using the ID and password that was emailed directly to you. If you have lost or forgotten your ID and password, please email Andrew Torget (torget@virginia.edu) for a replacement.
- Once you have logged in, you will be on the main page of your entries for the SHD. When you log in for the first time, there will be no entries listed. After you upload entries, you will be able to select them on this page for additions or editing later.
- To upload a new entry:
- Click on the "New Entry" button on the bottom of the page, which will take you to the full form for uploading.
- Fill out this page fully for your entry, some of which (such as the "Entry Description" and the "Citation") can be pasted into the form from a WORD document. These are the elements that you will need to provide:
- Entry Title: Here you will enter your one-sentence title for your entry.
- Entry Geography: Here you will click on the "Select County" button which will take you to the geographic selector tool. Use that tool to find the county for your entry, and then select it using the "i" tool. This will automatically fill out the geographic information for this entry, which you will see in the drop-down menus on the right side of the "Entry Geography" section. THIS WILL OPEN A NEW WINDOW, PLEASE TURN OFF YOUR BROWSER'S POPUP BLOCKER.
- Entry Time Period: Here you will enter both the start and end dates for your entry. Please type in the year for each, and then select the appropriate month and day from the drop-down menus. If either the month or day is unknown, please leave as "unknown."
- Entry Description: Here you will enter your full entry. Feel free to cut-and-paste it into this part of the form from an ASCII plain text file. To convert a Word document to ASCII plain text, see this troubleshooting guide. Please try to make sure that your episode is formatted correctly, including paragraph breaks, grammar, bolding, italics, and anything else the episode requires.
- Entry Scope: Here check all the scopes that apply to your entry.
- Entry Keywords: Here check all the keywords that apply to your entry.
- Entry Citation: Here you will enter your full entry. Feel free to cut-and-paste it into this part of the form from wherever you have already written it. Please try to make sure that it is formatted correctly, including paragraph breaks, grammar, bolding, italics, and anything else the entry requires.
- Once you are finished, click the "Save" button at the bottom of the form to submit your entry.
- If your upload of the entry is successful, you will be taken back to the main entry page, where you will see your new entry listed.
- If your upload of the entry is unsuccessful, you will see a message at the top of the screen saying "Submission failed! Please make sure that all fields below have been completed."
- If that happens, please make sure that all the parts of your entry are completely filled out.
